Most tills tell you what you took. Grafto tells you what happened — who did it, when, and why. That is the difference between a day's takings and a day you can account for.

Opened and closed properly

A session starts with a counted float and ends with a counted drawer. Grafto shows the expected figure and flags any over or under before it lets you close.

Nothing typed twice

Bundles apply themselves. Loyalty multiplies at the customer's tier. Received stock lands in inventory. The record writes itself as you work.

The POS is full-screen and made for speed. Scanner input is picked up whether or not you have clicked into the search box first.

Split payment · part card, part cash

Scan, or don't

Search by name or SKU as you type, scan with a handheld, or use the on-screen scan dialog. Scan a customer's loyalty card and it attaches them to the sale instead of adding a product.

Sold by the pack

Items that come in packs go in as a full pack in one tap. If a scanned item is out of stock, unknown, or normally sold by the pack, a prompt walks you through what to do next.

Quick Add

Configurable shortcut panels open a grid of tappable product cards — for the things that never had a barcode on them in the first place.

Hold it

Park a basket to serve someone else, then pick it back up or bin it from the Held Sales list.

Discounts that apply themselves

Bundle deals price the moment qualifying items are in the basket — no code. Combo deals do the same across groups, one device plus one liquid for a set price. Coupon codes validate instantly, and there are one-tap 10% and 25% buttons.

Split the payment

Part cash, part card, and the system tracks what is left to pay. A cash sale opens the drawer and makes you confirm it is shut before the next sale starts.

Refunds and exchanges

Look up the original sale by number, pick the items and quantities coming back, and mark each one working or faulty. On an exchange, add the replacement and Grafto works out whether they owe you or you owe them.

Every sale, itemised

Every completed sale prints a receipt showing the discounts applied and what the customer saved. The sale record keeps the full breakdown — payments, notes, and for exchanges a clear split of what was returned against what was bought.

The reorder point does the ordering

Stock runs down to its reorder point, Grafto flags it, and the flag turns into a purchase order without you retyping a thing.

Receiving, with the margin in view

Enter what actually turned up, the unit cost and the selling price. A red-amber-green margin indicator warns you before you price something at a loss. Confirm and inventory updates there and then.

Know what you're holding

On-hand, reserved, faulty and reorder point on every row. Filter by location, category, brand, price or quantity, or use the chips — in stock, low stock, out of stock, recently updated, faulty.

Bring it in by CSV

A three-step import: download a template pre-filled with your own custom fields, map your columns, then review a row-by-row report with a downloadable error log.

Orders keep their history

Draft, sent to supplier, received or cancelled. Download any order as a PDF. Received orders stay as a read-only record of ordered against received.

The part that matters when someone asks

Age checks, loyalty, reporting and a log of who did what. The unglamorous half, and the half that keeps you trading.

An age-restriction rule, saved and live

Age verification

Set a minimum age, whether staff must physically inspect ID, and whether to re-check every sale or trust an already-verified customer. Apply the rule to products from a searchable picker.

It keeps the history

Every check performed sits on the customer's record. Deactivate a rule and linked products stop prompting, but the past checks stay exactly where they were.

Loyalty that tiers itself

Points per pound, a redemption value per point, and tiers with their own multiplier — Gold at 1.5×. Customers move between tiers on their balance. Nobody assigns anything by hand.

Reports when you want them

Pick a date range and location: revenue, sale count, average basket, discounts given, a daily chart and top products by revenue. Compliance gets its own tab with a CSV export.

The audit log

A filterable trail of the significant things — created, updated, deleted, cancelled — by entity type, action and date. Read-only, because that is the entire point of it.

Customers on file

Search by name, phone, email or reference. Loyalty balance and full points history, contact details, and every age check ever run on them. Print them a scannable loyalty card.

Four roles. The dashboard changes shape depending on who signed in — front-of-till staff get their own weekly sales count and average transaction time where the money figures would otherwise be.

Change someone's role, or switch their access off, from a menu on their row. You cannot change your own role or an owner's from that screen. Invite staff by email, or set a password directly and hand it over — it is shown once, with a copy button.

Products & variants

A product is the template; variants are what you actually sell — each with its own SKU, barcode, cost and selling price, and opening stock. Print a barcode label for any of them.

Custom fields

Add the fields the built-ins don't cover — flavour, nicotine strength, puff count. Text, number, dropdown or yes/no, scoped to certain categories or applied everywhere.

Categories & brands

Rename inline, deactivate rather than delete while something's still in use, and point a category at a Quick Add panel so it shows up on the till.

Taxes & discounts

Coupon codes with usage limits and date ranges. Tax rates with one set as the shop default. Bundle and combo deals that apply themselves at the basket.

Cash drawer log

Every time the drawer opened, what opened it — cash sale, cash refund or a manual No Sale — which staff member, which till, and the sale it belongs to. Read-only by design.

Sales history

Every past sale, filterable by status and location, as a timeline or a sortable table. Full itemised detail, and for exchanges a clear split of what came back against what went out.

Multi-location

Each shop has its own inventory, tills and sales. Filter the dashboard and reports to one location or look at all of them together.

Tasks

Assign work with a title, description and due date. Staff mark it complete, or incomplete with a reason that goes back to whoever set it.

Settings

Currency, timezone, invoice and purchase-order numbering. Whether displayed prices include tax. Custom header and footer text on every printed receipt.

Questions shop owners actually ask

Do I need special hardware for Grafto?

No — Grafto runs in the browser on any Windows till, tablet or laptop. You do not need proprietary hardware to get started.

Can Grafto handle more than one shop?

Yes. Each location keeps its own inventory, tills and sales, and you can filter the dashboard and reports to one location or look at all of them together.

Can I bring in my existing stock list?

Yes — import by CSV with a three-step process: download a template pre-filled with your custom fields, map your columns, then review a row-by-row report with a downloadable error log.

Does Grafto handle age-restricted products?
